This policy explains how Mechindus Private Limited (“Mechindus”, “we”, “us” or “our”) handles personal information when you use mechindus.com, submit a public form, apply for a role, or use the Mechindus document-verification service.
1. Information we handle
Contact and quotation enquiries
Contact submissions may include your name, business email address, company, telephone number, location and message. Quotation requests may also include industry, products of interest and requirements. We use this information to respond to the enquiry, assess the requested work and maintain related business correspondence.
Consultation and consultation feedback
Consultation submissions may include your name, business email address, organisation or department, consultation date and type, ratings, comments, follow-up preferences, consent choices and up to three supporting JPG, PNG or PDF attachments. Internal handling fields are controlled by authorised Mechindus personnel and are not taken from public-user input.
Careers
Career applications may include your name, email address, position sought, cover letter and a PDF, DOC or DOCX résumé. We use this information to consider and communicate about the application.
Feedback and comments
Feedback submissions may include identity and contact details, company and designation, selected products or services, ratings, comments, compliance responses, publishing preference and consent. Blog comments include a business email address and comment and are held for moderation. Where a feedback response indicates that follow-up may be required, a limited internal email alert may be sent to the relevant Mechindus team.
Document verification
When you upload a PDF for verification, the website transfers it securely to the isolated Mechindus verification service so that the embedded signature, content integrity and authoritative record can be checked. The uploaded PDF is processed temporarily and is not persistently retained after verification. The main-website upload copy is deleted when the verification request finishes, including when verification fails.
A document-ID lookup sends the non-enumerable identifier you enter to the verification service and returns limited public record metadata, such as document class, revision, authentication time and current status. A lookup does not upload the corresponding document.
2. Technical data, logs and cookies
Our hosting, security and verification systems may record operational information such as IP address, request time, requested path, response status, browser or user-agent information, rate-limit events and application errors. These records are used to operate, secure and troubleshoot the services. Form contents, uploaded PDFs, credentials and signing keys are not intended to be written into routine application logs.
The website uses a secure PHP session cookie for functions such as form status messages, request protection and other session-based features. It is configured as an HTTP-only, SameSite cookie and is sent only over HTTPS on the production site. The cookie normally expires with the browser session unless the platform configuration specifies a shorter server-side lifetime.
Many public pages currently load Google Analytics to measure website usage. That service may receive online identifiers and device, browser, page and interaction information and may set or read its own cookies according to its configuration. The website also uses Google Maps on the contact page. Browser controls can restrict cookies, although doing so may affect session-based features. Mechindus does not currently provide a separate on-site analytics preference panel.
3. How we use information
- to respond to enquiries, quotation requests and follow-up requests;
- to deliver consultations, support, products and services and maintain related business records;
- to assess career applications;
- to review feedback and moderate public comments;
- to verify authenticated documents and return their current public status;
- to protect the website, prevent abuse, diagnose errors and improve reliability; and
- to meet contractual, accounting, regulatory and legal obligations where applicable.
4. Service providers and other recipients
We use service providers that support website hosting, email delivery, security and traffic management, analytics, mapping and document verification. They process information for the relevant service under their own terms and safeguards. Information may also be disclosed to professional advisers, regulators, law-enforcement bodies or other parties where reasonably required by law, to protect rights or systems, or in connection with a legitimate corporate transaction. Information submitted for publication, a business matter or employment may be shared internally with personnel who need it for that purpose.
5. Security
We use measures appropriate to the nature of the service, including encrypted transport, access controls, generated upload names, file-type and size validation, private non-web storage for accepted attachments, rate limiting, restricted public verification metadata and separation of the public verifier from the signing-key service. No internet service can be guaranteed completely secure, and users should avoid submitting information that is unnecessary for their request.
6. Retention and deletion
Accepted résumé and consultation-attachment files are placed in private website storage. These temporary website-upload copies become eligible for automatic cleanup after seven days and are removed when the cleanup process next runs. They are not published as website downloads. If an attachment or résumé is transferred into an authorised HR, customer, service or other business record before that cleanup, the resulting separate record is retained according to the applicable business, contractual, legal or HR requirement and is not governed by the seven-day temporary-copy period.
Contact, consultation, feedback, blog-comment and career form records may be retained for the period reasonably needed to respond, maintain the relevant business or recruitment record, resolve disputes, enforce agreements and meet legal or regulatory requirements. Retention therefore varies by purpose rather than using one period for every record.
PDFs uploaded only for document verification are not persistently retained after the verification request. Verification records for documents authenticated by Mechindus, including document IDs, hashes, certificate history, status and audit facts, are retained to support later authenticity and revocation checks; those records are distinct from a visitor’s uploaded verification copy.
Technical and security logs are retained according to the configured rotation and operational requirements of the relevant hosting or security service. We may preserve a specific record for longer where reasonably necessary for an incident, dispute, fraud investigation or legal obligation.
7. Privacy requests
You may ask whether we hold personal information about you or request access, correction or deletion where applicable. Send enough information to identify the relevant interaction to enquiry@mechindus.com. We may need to verify identity and may retain information where required for legal, security, contractual or record-keeping reasons.
8. External links
The website may link to third-party websites or services. Their privacy practices and content are controlled by those third parties, and you should review their notices before providing information.
9. Minors
The website and Mechindus industrial services are directed to business and professional users, not children. We do not knowingly solicit personal information from minors through these public forms. A parent or guardian who believes a minor has submitted information may contact us to request review and appropriate action.
10. Changes to this policy
We may update this policy when our website, processing practices or legal requirements change. The effective and last-updated dates above identify the current public version. Material changes may also be communicated through an appropriate website or direct notice where necessary.
